These Booking Terms and Conditions apply to all bookings made with Pickleball Escapes for UK-based weekend Miniscapes. By completing and submitting the Pickleball Escapes Booking Form, you agree to be bound by these Terms & Conditions.

 

1. Booking and Deposit

• Bookings may only be made by individuals aged 18 or over.
• A booking is confirmed only when both of the following have been completed:
  a) the Booking Form is signed and returned;
  b) a non-refundable deposit of £125 per person has been received and receipted.
• Deposits are invoiced individually and payable immediately upon receipt. Until paid, your place cannot be held.
• All payments must be made in pounds sterling via the methods outlined in the booking process or invoice.
• A deposit is fully refundable or transferable to another escapes date (subject to availability) until the event is confirmed as “live” (see Section 2).
• Once the Miniscape goes live, deposits become non-refundable and non-transferable.

 

2. Minimum Group Size and Go Live Confirmation

• Each UK Miniscape requires a minimum of 10 confirmed bookings (with deposits paid) to proceed.
• Until this threshold is reached, the event is not considered “live.”
• When the minimum is met, you will receive a Go Live confirmation email.

After Go Live:

• Deposits become non-refundable and cannot be transferred to another date or event.
• Guests are advised to make any local travel and accommodation arrangements (if these are not being provided by Pickleball Escapes) only after receiving the Go Live notification.

 

3. Travel & Arrival Arrangements

• Pickleball Escapes does not provide or arrange transport or transfers.
• All guests are responsible for making their own way to and from the Miniscape location and court venue.
• Please do not commit to non-refundable travel or accommodation bookings until you receive the official Go Live confirmation.

 

4. Final Balance

• The remaining balance must be paid no later than 10 weeks prior to the event start date.
• Final invoices will be issued and payment is due immediately.
• Failure to pay the balance by the deadline may result in cancellation of your place and loss of your deposit.

 

5. Cancellations & Refunds

• You may cancel and receive a full refund of any payments made prior to the Go Live confirmation.
• Once the Miniscape is live, no refunds or transfers will be issued for cancellations.
• In exceptional personal circumstances, Pickleball Escapes may offer a date transfer at its discretion.

 

6. Weather and Force Majeure

• Pickleball Escapes is not liable for disruptions affecting travel to/from the Miniscape due to weather conditions or force majeure events, including:
  • Persistent rain or adverse weather 
  • Natural disasters
  • Transport strikes
  • Illness outbreaks
  • Government restrictions
  • Venue closures
• Where weather may impact the availability of court time we will do our best to deliver the planned coaching by adjusting schedules or securing indoor alternatives where possible.
• No refunds or compensation will be given for delays or changes caused by such events.

 

7. Liability & Fitness to Participate

• Participation is at your own risk. Pickleball Escapes is not responsible for any injury, loss, or damage sustained during the event.
• Guests are expected to be physically and mentally fit for a full weekend of pickleball activity, and to take part responsibly.
• If you develop a condition or injury after booking, please notify us in writing. We may cancel your booking and offer a date transfer at our discretion.
• Pickleball Escapes reserves the right to:
  • Exclude a participant from activities for safety or wellbeing reasons.
  • Cancel a booking if we believe a guest cannot safely take part.

 

8. Data Protection & Media Consent (GDPR)

By booking, you consent to:

• Pickleball Escapes collecting and securely storing your personal information for the purpose of managing your event experience.
• Being added to a private WhatsApp group for event communications.
• Photographs and videos being taken during the event, which may be shared within the group or used for promotional purposes (social media, website, marketing).

If you do not wish to have your image used for promotional purposes, please inform us in writing at least 14 days before the event start date.

We will never share your data with third parties for marketing purposes. You can request access to, or deletion of, your data at any time.

 

9. What’s Not Included

• Transport to and from the event/hotel/court venue
• Accommodation (unless otherwise stated in a specific package)
• Any meals or beverages not explicitly listed as included
• Personal travel insurance (optional)
• Any costs arising from travel disruption or personal circumstances
